iV Learning Terms and Conditions
We aim to provide clear and fair terms that support a positive learning experience for your child.
- School Holiday Camp Terms
These terms apply specifically to any iV Learning school holiday camp or holiday program. Where there is any inconsistency between these terms and our regular tutoring or group class terms, these School Holiday Camp Terms apply to the holiday camp program.
1.1 Enrolment and Bookings
- Holiday camp enrolments are completed online through our SimplyBook booking page.
- Unless otherwise stated for a particular program, enrolment is for the full holiday camp program for the number of days listed in that camp.
- In some circumstances, we may consider one-day enrolments at our discretion. Please contact us to discuss availability.
- A child’s place in the holiday camp is only confirmed once full payment has been received.
- We may refuse attendance if a valid booking and full payment have not been completed.
1.2 Cancellations and Refunds
- Holiday camp bookings are generally non-cancellable and non-refundable.
- This applies where a child cannot attend due to change of mind, scheduling conflicts, illness, or other personal circumstances.
- In limited exceptional circumstances, we may consider a partial refund at our discretion, including in the case of a genuine medical emergency.
- Where a partial refund is requested on medical grounds, we may require a medical certificate or other supporting documentation.
1.3 Changes or Cancellation by iV Learning
- We reserve the right to change, reschedule, relocate, adjust, or cancel a holiday camp where reasonably necessary.
- This may occur due to low enrolment, staff availability, venue issues, weather, material availability, safety concerns, or other circumstances beyond our reasonable control.
- We may make reasonable changes to the daily schedule, activity order, activity duration, venue, or planned activities, provided that we aim to deliver a suitable replacement experience overall.
- If we need to cancel the holiday camp entirely and no suitable replacement or rescheduled option is offered, a full refund will be issued for the cancelled program.
- Except as required by law, we are not liable for additional costs, losses, or expenses arising from such changes or cancellation where the reason is beyond our reasonable control.
1.4 Drop-off and Pick-up
- Drop-off and pick-up windows are listed in the booking details for each holiday camp.
- Unless otherwise stated, drop-off and pick-up windows are typically 30 minutes, such as 9:00 am to 9:30 am for drop-off and 4:30 pm to 5:00 pm for pick-up.
- Early drop-off and late pick-up are only available where purchased as an add-on during booking.
- Where no extended drop-off or pick-up has been purchased, a late fee of $50 may be charged for every 15 minutes or part thereof, up to a maximum of $150.
- If a parent or authorised pickup person is more than 10 minutes late, we will attempt to contact the parent first, then the emergency contact.
- If no authorised person can be reached and nobody attends to pick-up the child, we may contact police or other appropriate authorities for assistance where reasonably necessary for the child’s safety.
1.5 Sign In and Sign Out
- Parents or authorised guardians must sign children in and out each day.
- Children may only self-sign-out where we have received prior written permission from a parent or guardian.
1.6 Parent Information and Medical Disclosure
- Parents must provide accurate and complete information at the time of booking regarding their child’s allergies, illnesses, medical conditions, behavioural concerns, or other relevant support needs.
- This information is required so that we can reasonably prepare for your child’s participation in the program.
- Parents are responsible for ensuring that their child arrives with any medications they may require during the day.
- We are not responsible for issues arising from inaccurate, incomplete, or outdated information provided by parents.
1.7 Food and Personal Items
- Parents are responsible for providing their child with a water bottle, recess food, lunch, nut-free snacks, a hat, sunscreen, and any medication the child may require during the day.
- Our holiday camp is nut-free. Please do not pack any nuts or nut-containing products in your child’s lunch box.
- Children should also wear suitable clothing and bring any items specifically listed in the program information.
1.8 Attendance, Behaviour, and Respect for Others
- Students are expected to behave respectfully and safely at all times.
- We do not tolerate bullying.
- If a child behaves in a way that is unsafe, seriously disruptive, offensive to others, or prevents the program from running appropriately, we may give a warning in the first instance.
- If the behaviour continues, we may contact parents and require further action, including early pickup or exclusion from the remainder of the program where necessary; not refund will be provided in this case.
- Parents may be held responsible for deliberate damage caused by their child to equipment, materials, furniture, or the venue.
1.9 Safety and Activity Risks
- We aim to provide activities that are appropriate, supervised, and designed to be safe for participating children.
- Holiday camp activities may include ordinary hands-on materials and tools commonly used in supervised STEM and craft activities, including items such as scissors, hot glue, food coloring, pins, and similar materials.
- Children attending the holiday camp are expected to be able to use ordinary age-appropriate craft and activity materials with reasonable independence and care.
- Where new materials, tools, or equipment are introduced, our staff will provide guidance and supervision as appropriate.
- Parents acknowledge that participation in ordinary supervised hands-on activities may involve minor everyday risks.
1.10 Program Content and Activity Changes
- We reserve the right to change, replace, adjust, or cancel any planned activity where reasonably necessary.
- This may be due to weather, material availability, timing, venue suitability, staffing, safety concerns, or the skill level or needs of students attending.
- Where an activity is changed or cancelled, we will aim to provide a suitable replacement.
1.11 Personal Property
- Children should not bring valuable items unless necessary.
- We do not accept responsibility for loss of or damage to personal belongings, except where liability cannot be excluded by law.
1.12 Media Consent
- We may occasionally take photos or videos of tutoring activities, group classes, and holiday camp activities for training, educational, or marketing purposes. This helps us share student achievements and grow the iV Learning community.
- You authorise us to take appropriate photos and videos that may include your child during iV Learning programs, which may be used for our website, newsletters, or marketing materials.
- We never use photos or videos for ID or biometric purposes, and we never share your child’s name or personal details.
- If you do not consent to the use of photos or videos, please let us know in writing.
- Regular Tutoring and Group Class Terms
The following terms apply to our regular tutoring and school term group classes.
2.1 Enrolment and Bookings
- All enrolments are completed online through our SimplyBook booking page.
- Clients purchase packs of sessions for group or private classes, with full upfront payment required.
- Each pack has an expiry period. All sessions must be used before the expiry date.
- Once a pack is purchased, clients must book all sessions they plan to attend.
- Group classes run at predetermined weekly times during school terms.
- Private 1-on-1 classes are scheduled directly with the tutor on a per-client basis and will generally take place at the same day and time each week during the school term, unless an alternative arrangement is agreed upon depending on tutor availability.
- Classes may not run on public holidays.
- All bookings and cancellations must be made online through SimplyBook. We cannot accept bookings or cancellations via email or SMS.
- We may refuse attendance if a valid payment or booking has not been completed.
2.2 Cancellations
- A minimum of 8 hours notice is required to cancel any session.
- Cancellations made within the required notice will retain the session credit for future use within the pack’s expiry.
- Cancellations made with less than 8 hours notice will result in the full session fee being charged.
2.3 Tutor Availability
- We aim to provide consistency with tutors, but we cannot guarantee that the same tutor will be available for every session.
- If a tutor is unavailable, a suitable replacement tutor will run the session or the session may be rescheduled.
2.4 Payment
- All payments are made online through SimplyBook at the time of purchasing a pack.
- Sessions cannot be attended without a valid paid booking.
- If any outstanding payment issues arise, future bookings may be paused until resolved.
2.5 Late Pickups
- Each session runs for 55 minutes. Parents must arrive for pickup 5 minutes before the scheduled finish time.
- The final 5 minutes of the session may be used for brief feedback or updates from the tutor.
- Pickups more than 10 minutes late may incur a $20 fee.
- Pickups more than 30 minutes late will incur an $85 fee.
- Repeated late pickups may affect future enrolment.
2.6 Media Consent
- We may occasionally take photos or videos of tutoring activities, group classes, and holiday camp activities for training, educational, or marketing purposes. This helps us share student achievements and grow the iV Learning community.
- You authorise us to take appropriate photos and videos that may include your child during iV Learning programs, which may be used for our website, newsletters, or marketing materials.
- We never use photos or videos for ID or biometric purposes, and we never share your child’s name or personal details.
- If you do not consent to the use of photos or videos, please let us know in writing.
2.7 Child Safety
- The safety of your child is paramount, and we are committed to creating a safe and welcoming environment for all students.
- All staff members hold Working with Vulnerable People registration where required and follow iV Learning guidelines to support student safety.
- You agree to provide us with all relevant information about your child’s allergies, illnesses, or medical conditions, and any necessary adjustments required to support your child’s participation and safety.
- We are not liable for issues arising from missing, incomplete, or outdated information provided to us.
2.8 Class Attendance and Behaviour
- Students are expected to behave respectfully and safely during all sessions.
- We may discontinue enrolment if behaviour places others at risk or seriously disrupts the learning environment.
- General Terms Applying to All iV Learning Services
- These Terms and Conditions may be updated from time to time as our business grows or operational needs change.
- Updated terms will apply from the date they are published or otherwise communicated to clients.
